College House, an independent university hall in Christchurch, provides accommodation and support for students, managing enrolments and associated paperwork for both students and their primary caregivers.
Keeping this process efficient is essential to staying organised and on schedule.
The problem
Before using Annature, all enrolments were managed via email and manual signatures, with documents either posted or scanned and returned. While this approach worked, it involved extra steps and made it more difficult to track progress across multiple enrolments.
The solution
Today, the team manages all student enrolments digitally through Annature. Documents are sent online to both students and their primary caregivers for signature, and the status of each enrolment can be easily monitored.
“Switching to digital enrolments has made a big difference,” Tanyia says. “We can quickly see which documents have been opened, reviewed, and signed.”
What difference has this made?
Annature has streamlined the enrolment process and made it easier for the team to stay on top of paperwork.
“It’s faster to see where everything is at, and it gives us better control over each enrolment,” Tanyia explains. “Even during busy periods, such as after the holidays, we can easily check which enrolments are in progress and who has completed their part.”
The outcome
By moving to Annature, College House has improved visibility and control over its enrolments, making the process more organised and straightforward for staff, students, and caregivers alike. Digital records now sit alongside physical folders for health, safety, and audit purposes, allowing the team to focus more on supporting students rather than chasing paperwork.
