
This community-based Registered Training Organisation at Carringbush Adult Education delivers both accredited and pre-accredited courses and manages a steady flow of student enrolments each week.
During COVID, the organisation needed to move away from paper forms and in-person signing, prompting them to look for a digital alternative.
The problem
Before using Annature, all student enrolments were handled on paper. Forms were printed, completed by hand, signed, and then filed. While this worked when everything was conducted face-to-face, it quickly became impractical during COVID when online enrolments became necessary.
“We were completely paper-based,” Cathy explains. “Getting forms signed and returned was slow, and it created a lot of extra admin.”
The solution
The team now uses Annature for all student enrolments, completing several each week. The process is shared between staff: the admin coordinator prepares the enrolment documents, and Cathy completes the interviews and finalises the paperwork online.
“All of our enrolments now go through Annature,” she says. “The documents are set up, sent through, completed online and signed, without needing any printing.”
The shift from paper to digital enrolments has reduced paperwork and administrative time, while also shortening the time it takes to complete each enrolment.
“It’s definitely faster,” Cathy says. “There’s less paper, less chasing things up, and less general admin.”
The ability to complete and sign documents online has also helped keep enrolments moving, even when staff are busy or working at different times.
Cathy also noted that improvements made to the platform over time have made day-to-day use easier. In particular, changes that prevent documents from disappearing if a final signature is delayed have been a welcome update.
“That used to be a real headache,” she says. “Now, if I forget to finalise something straight away, it’s not a disaster.”
Support from the Annature team during the early stages of adoption was also highlighted as a positive part of the experience.
The outcome
By moving student enrolments from paper to Annature, this community RTO has reduced paperwork, shortened enrolment turnaround times, and supported the transition to online processes during COVID. Annature is now a normal part of how the organisation operates, helping staff manage enrolments without relying on manual forms.
